SUBJECT: WIA 1B End-of-Year Contract Carryovers PY 2000 - 2001

Policy:

 DATA ENTRY:  

  • As the program year draws to a close on June 30, 2001, please be sure your data entry is as accurate and up to date as possible.  The cutoff date for data entry of PY 2000 registrants is August 10, 2001.  After August 10th, you will be unable to: exit an individual, enter a registration, or enter a goal for a youth, that occurs before 07/01/2001.

  • If your area is encountering any difficulties whatsoever with data entry, please do not hesitate to contact our office.  Please be sure to use the Corrections Form attached to this memo if you have any data entry errors that need correcting through our office.

  • As you may know, we are in the process of developing some enhancements to the system for PY 2001.  Beginning July 1, 2001, some of the data entry forms will be changing, and we will be adding some follow-up data collection screens.  We also plan to have training on these changes at the earliest possible date.  However, we anticipate that this training will not be able to be scheduled before July 1, therefore the first date for entering PY 2001 activity has yet to be determined.  Please hold data entry for clients beginning on or after July 1, 2001 until notified.


 CARRYOVERS BY CONTRACT:  

  • This office should receive the completed contract carryover list for PY 2001 from each area, no later than June 22, 2001. All open activities for clients will be closed if their contract number is not carried over.

  • The contracts may be carried over with a new number.  For example:  In PY 2000, Local Area "Alpha" serves adults under contract number 032000, for PY 2001, they choose to carry that contract over, (because some adults are still being served from that contract) so they rename it for the next year as contract number 032001.

  • The contracts may also be carried over with the same number.  If a local area chooses to keep the same contract number, they will need to extend the end dates of the contracts in the WI57 screen of the WIA MIS.  If you choose this option, please keep in mind that it may be harder to identify which program year the client was served under.

Instructions to filling out the attached contract listing form:

  1. Beside each PY 2000 contract number, indicate yes or no in the next column to indicate whether you wish the contract number to be carried over.

  2. If the contract number is to be carried over (answer of yes), write in the new contract number for PY 2001.

  3. If the contract number is not to be carried over (answer of no), leave the last column blank.

  4. If you have a contract number that we did not include in the list, please write it in on the next available line and follow steps 1-3 again.
